Who Handles What at a Punta Cana Wedding? Resort Coordinators, Travel Teams and Planners

Published:

A destination wedding involves several kinds of coordination. Booking travel, running an excursion and directing the ceremony are different jobs, even when they affect the same guests. The useful question is not whether you have a coordinator somewhere in the process, but whether every necessary responsibility has a named owner.

Start with the agreed scope of each provider

A resort coordinator may manage the property’s wedding arrangements, but the exact scope depends on the venue and package. Ask what happens outside those arrangements: off-property events, external suppliers, guest transport and the overall programme. Do not assume all resorts provide the same support.

A travel agent may handle flights, accommodation or group travel arrangements under its agreement. A tour operator runs the booked excursion. A wedding planner can coordinate the celebration and its suppliers within the selected service. None of these titles alone tells you everything included.

Write a responsibility list for the actual wedding

List each task and assign one lead, one approval contact and any supporting provider. For example: hotel reservations may sit with the hotel or travel agent; vehicle dispatch with the transport operator; excursion delivery with the tour company; ceremony timing with the designated wedding coordinator.

Add the connections between tasks. Who tells transport that an event finish has changed? Who informs the caterer of a confirmed guest-count change? Who checks that an outside supplier has the venue’s approval? Unassigned connections are where otherwise competent teams can work from different information.

Decide who can act while the couple is unavailable

During preparations and the ceremony, the couple should not have to answer routine operational questions. Agree in advance who can adjust timing within limits, contact suppliers and escalate a problem that needs the couple’s approval.

Keep financial authority explicit. An organiser may be authorised to coordinate a change without being authorised to approve extra spending. Define the approval method and backup contact before the wedding day. That prevents a relative or supplier from making a commitment that the couple never intended.

Judge complexity by dependencies, not only guest count

A small wedding can involve several venues, external suppliers and different travel schedules. A larger celebration in one location may have fewer movements but still require substantial coordination. Guest count matters, yet it does not measure every planning task.

Consider the hours required for comparisons, meetings, confirmations and updates from another country. A spreadsheet can record these decisions, but it cannot inspect a location, confirm a supplier’s arrival or resolve conflicting instructions on site. Identify which tasks you can realistically perform and which require local support.

Work clearly with a planner from your home country

If you already have an organiser at home, agree who leads local operations and how the two teams exchange decisions. Keep one current timeline and a shared approval record. Suppliers should not receive contradictory instructions from different organisers.

Clarify who handles design, local sourcing, venue communication and wedding-day execution. Ask each team to identify gaps before contracts are finalised. Cooperation works best when the responsibilities are complementary and everyone knows where final authority sits.

Choose the level of support that matches the gaps

You may need full planning, help finding suitable suppliers or coordination of arrangements you have already made. Compare services by deliverables, timing, availability and exclusions rather than by the label alone. Ask when the provider starts reviewing your plans and which events are covered.Sertuin Events, a Punta Cana wedding planner, presents different planning and coordination options on its service page. Use that information to discuss the responsibilities your own celebration needs covered, and confirm the final scope in writing.

Before booking, try this test: name the person responsible for each major task, identify who approves a change and explain how the update reaches everyone affected. If you cannot answer, the plan needs clearer ownership before it needs another decorative detail.
